Auto Attendant Greeting Management [PBX]

To manage the greeting prompt for a shared auto attendant you must set the forwarding of your phone to 3602. The forwarding settings should be set according to the behavior that is appropriate to the type of auto attendant you have. You want to choose one or the other, not both.

For most Department Auto Attendants, the forwarding should be set to forward all. This option immediately forwards all callers to the auto attendant and the phone does not ring.

1. Take phone off hook, press #44 (pound 4 4) hang up.

2. Take phone off hook, press *44 (star 4 4) and enter in 3602, wait for 2 seconds and hang up.

– OR –

For most Shared Line Auto Attendants, the forwarding should be set to busy & no answer. This option allows the phone to ring and only forwards to the auto attendant when its either busy (your on the line with someone else) or no one answers the phone.

1. Take phone off hook, press #44 (pound 4 4) hang up.

2. Take phone off hook, press #55 and hangup. Take the phone off hook again and press *55 (sets “busy” forwarding) enter in 3602 (the Unified Messaging number) and hang up.

3. Take phone off hook, press #66 and hangup. Take the phone off hook again and press *66 (sets “no answer” forwarding) enter in 3602 (the Unified Messaging number) and hang up.

1. Once you’ve set the forwarding to 3602, dial the number to your shared auto attendant (your department number).

2. Navigate to the attendant tree by using your keypad to the one you want to change, when you hear the recording, press # and then *

3. Enter the Admin ext and PIN that was provided to you for the management of the auto attendant.

4. Press 1 for the business hours prompt.

5. To make changes to the Welcome Greeting Press 1, for the Main menu Prompt press 2.

Note: The Welcome Greeting is the first greeting callers hear when they call the AA which is followed by the Main Menu prompt. The Main Menu prompt should list the users or options assigned to this attendant, i.e. “For John Doe, press 1. For Directions, press 2”.

6. To re-record over the existing greeting(s) press 2. Record your own Welcome Greeting and Main Menu prompts and press # when finished. The newly recorded prompt will be played back and you will be prompted to press 1 to accept or 2 to re-record.
